CoworkReady (“CoworkReady,” “we,” “our,” or “us”) understands that trust is central to the services we provide. Because our work may involve remote computer access, software setup, account configuration, website review, document review, and client training, we are committed to protecting the confidentiality of the information our clients share with us.

This Confidentiality Statement explains the standards CoworkReady follows when handling client information in the course of providing setup, training, support, and related services. This statement applies to all CoworkReady employees, independent contractors, and other personnel who access client information in connection with CoworkReady services.

1. Our Commitment to Confidentiality

CoworkReady treats client information as confidential and uses it only for legitimate business purposes directly related to the services the client has requested. In keeping with this commitment, CoworkReady will:

  • Access client systems, accounts, websites, or documents only as needed to perform the requested work
  • Limit review of information to what is reasonably necessary to complete setup, support, or training
  • Not intentionally review unrelated personal, financial, legal, medical, or confidential business materials
  • Not disclose client information to third parties except as necessary to deliver the services, as authorized by the client, or as required by applicable law
  • Require employees, contractors, and support personnel with access to client information to handle it responsibly, confidentially, and in accordance with this Statement

2. Information Covered by This Statement

This Statement applies to information a client shares with CoworkReady or that CoworkReady may access while performing services, including:

  • Account information and setup details
  • Business documents, website content, FAQs, policies, product information, and training materials
  • Support communications by email, chatbot, or live call
  • Information visible during remote access sessions or screen-sharing sessions
  • Website chatbot knowledge-base materials or files submitted for configuration purposes
  • Workflow details, internal procedures, and other non-public business information
  • Personal information of the client or the client’s employees, customers, or end users that may be incidentally accessible during service delivery

3. Limited Use of Client Information

CoworkReady uses client information only to:

  • Set up and configure Claude Cowork or other requested services
  • Set up, train, and maintain website chatbot services
  • Provide client onboarding, education, and technical support
  • Troubleshoot technical issues
  • Maintain internal service records, billing records, and support continuity

We do not sell client confidential information. We do not use a client’s private materials for unrelated marketing, public display, or any commercial purpose unrelated to the services provided to that client.

4. Remote Access and Confidentiality

Certain CoworkReady services may require a team member to remotely access a client’s computer with the client’s knowledge and explicit permission. During those sessions, the CoworkReady team member may temporarily view information displayed on the screen or contained in the applications being configured. With respect to all remote access sessions:

  • Remote access is used only for the requested service or specific support issue
  • Clients are encouraged to close unrelated programs, files, and browser tabs before the session begins
  • Whenever practical, clients may remain present during the session
  • Access is limited to the duration reasonably required to complete the work
  • CoworkReady does not intentionally collect or retain unrelated confidential information viewed during a session

5. Sharing of Confidential Information

CoworkReady may share limited client information only under the following circumstances:

  • With trusted service providers or subcontractors who assist in delivering the requested services, who are subject to appropriate confidentiality obligations, and who are permitted to use the information only for authorized service delivery purposes
  • With the client’s express authorization or at the client’s specific direction
  • When required by applicable law, regulation, subpoena, court order, or other legal process, in which case we will attempt to notify the client in advance to the extent permitted by law
  • When necessary to protect the rights, safety, or property of CoworkReady, our clients, or the public, or to investigate fraud, misuse, or security incidents

6. Security Practices

CoworkReady uses reasonable administrative, technical, and organizational safeguards designed to protect client information from unauthorized access, disclosure, alteration, or misuse. These safeguards include access controls and role-based permissions, password protection and secure communication tools, limited access to client information on a need-to-know basis, and periodic review of internal handling procedures.

However, no system of remote access, electronic transmission, or data storage can be guaranteed to be completely secure. In the event of a data security incident that affects client confidential information and triggers notification obligations under applicable law, CoworkReady will notify affected clients as required.

7. Data Retention and Disposition

CoworkReady retains client confidential information only for as long as reasonably necessary to provide services, maintain support and billing records, fulfill legal and regulatory obligations, and resolve disputes. When client information is no longer needed for these purposes, CoworkReady will delete or de-identify it where practical. Clients may also request deletion of certain information subject to CoworkReady’s legal obligations by contacting us at the address below.

8. Client Responsibilities

Clients can help protect their own confidential information by:

  • Closing unrelated files and applications before a support session begins
  • Providing access only to the accounts and systems directly relevant to the requested service
  • Maintaining strong passwords and appropriate device security measures
  • Promptly notifying CoworkReady of suspected unauthorized access, account misuse, or security incidents
  • Reviewing and revoking access credentials after service delivery is complete, where applicable

9. Personnel Obligations

All CoworkReady employees and contractors who may access client confidential information are expected to treat such information with discretion and care, to access only the information necessary for their specific role in delivering the services, and to comply with CoworkReady’s internal confidentiality and data handling procedures. CoworkReady takes appropriate steps to enforce these obligations.

10. No Waiver of Legal Rights

This Confidentiality Statement reflects CoworkReady’s business practices and commitment to client trust. It does not replace, supersede, or limit any separate confidentiality agreement, non-disclosure agreement, service agreement, or contractual agreement that may apply between CoworkReady and a client. Where a separate written agreement exists, the terms of that agreement will govern to the extent they conflict with this Statement.
